Privacy Notice

This notice explains how SummitPilot handles information during the private pilot and how event organizers use information inside their own event workspaces.
Information we collect
- Account and contact information such as name, email, phone number, organization, and job title.
- Event activity such as registrations, RSVPs, check-ins, posts, reactions, meet-ups, feedback, applications, and support requests.
- Organizer-provided event information, vendor profiles, speaker profiles, and resources.
- Basic technical information used for security, troubleshooting, fraud prevention, and service operation.
How information is used
- Provide and secure SummitPilot accounts and event workspaces.
- Deliver event schedules, announcements, networking, check-in, moderation, and feedback features.
- Help event organizers administer their events and respond to requests.
- Diagnose problems, prevent abuse, and improve the private pilot.
Event organizers and vendors
The organization running an event can access information connected to that event. Vendor contact details are shared only according to the attendee's selected lead-sharing preference or another clear consent action. Organizers are responsible for explaining any additional event-specific use of attendee information.
Service providers
SummitPilot may use infrastructure, database, email, monitoring, AI, payment, or notification providers to operate the service. Providers should receive only the information needed for their assigned function and must be configured under appropriate service agreements before production use.
Retention and deletion
Pilot information is retained while needed to provide the service, support the event, meet legitimate security or legal needs, and evaluate the pilot. Participants may request access, correction, or deletion through the support form. Some records may be retained when required for security, audit, dispute, or legal purposes.
Security and account protection
SummitPilot uses access controls, encrypted connections, protected sessions, role-based permissions, and additional verification for privileged accounts. No online service can guarantee absolute security. Report suspected account misuse immediately.
Children
The private pilot is intended for adults and organizational events. SummitPilot is not designed for children under 13. Organizers planning youth events must obtain approval and establish appropriate consent safeguards before collecting registrations.
Questions and requests
Use the Report a Problem form to ask a privacy question, request access or correction, or request deletion. Include the event name and account email so the request can be verified.
